Job Description
This role goes well beyond data entry. You must be able to notice when numbers do not make sense, investigate the cause yourself, and resolve issues without waiting for step-by-step guidance. You will be responsible for reconciling vendor statements, identifying missing or duplicate bills, investigating discrepancies, and following issues through to their root cause. Hands-on QuickBooks Online experience is required, along with inventory bookkeeping experience, including unit conversions such as pounds to kilograms. Clear spoken and written English is essential because you will communicate directly with U.S.-based stakeholders. If your bookkeeping experience is primarily entering transactions that someone else has already reviewed, this role is likely not a fit.

We are looking for an analytical and detail-oriented Bookkeeping Specialist to support the financial operations of a fast-growing U.S. food manufacturing business. You will handle accounts payable, vendor statement reconciliation, account reconciliations, and inventory bookkeeping using QuickBooks Online.

This is a role for someone who thinks beyond the numbers. When something does not add up, you are expected to notice it, investigate what happened, determine the root cause, and resolve it independently. The business is growing quickly, so you should be comfortable working with evolving processes, minimal supervision, and taking ownership of bookkeeping issues from start to finish.

About This Role
You will take ownership of day-to-day bookkeeping activities, including managing accounts payable, entering and reconciling bills from multiple sources, scheduling vendor payments, performing account reconciliations, and maintaining accurate inventory records.

Because this is a food manufacturing business, inventory bookkeeping is an important part of the role. You should be comfortable working with physical inventory and performing unit conversions, such as converting pounds to kilograms, when recording or reconciling inventory-related information.

The most important part of this position is your ability to identify and solve problems. If a vendor statement does not match the books, a bill appears to have been entered twice, a bill is missing, or an inventory balance does not make sense, you should be able to investigate the issue and determine what needs to be corrected.

You will also be expected to communicate your findings clearly, explain discrepancies and their causes, and document or communicate the actions taken to resolve them.

What You’ll Do
Manage day-to-day bookkeeping activities and maintain accurate financial records
Manage accounts payable, including entering bills from multiple sources
Schedule and track vendor payments
Reconcile vendor statements against internal accounting records
Investigate and resolve vendor statement discrepancies
Perform account reconciliations in QuickBooks Online
Record inventory-related bookkeeping entries and calculations
Perform inventory unit conversions, such as pounds to kilograms
Identify missing, duplicate, or incorrect bills
Investigate discrepancies and determine their root causes
Resolve bookkeeping issues independently and follow them through to completion
Apply 3-way matching and other accounts payable controls
Maintain accurate and reliable financial records
Help maintain organized bookkeeping processes as the business continues to grow
Identify opportunities to improve bookkeeping accuracy and efficiency
Communicate findings, discrepancies, and resolutions clearly with U.S.-based stakeholders
Work independently while meeting deadlines and maintaining a high level of accuracy

What We’re Looking For
Hands-on bookkeeping experience
Strong experience with QuickBooks Online (QBO)
Experience managing accounts payable
Experience with bill entry and payment scheduling
Experience reconciling vendor statements
Experience performing account reconciliations
Strong discrepancy investigation and root-cause analysis skills
Experience with inventory-related bookkeeping and calculations
Comfortable performing inventory unit conversions, such as pounds to kilograms
Strong attention to detail and numerical accuracy
Strong analytical and problem-solving skills
Excellent written and verbal English communication
Ability to explain financial discrepancies clearly and professionally
Ability to work independently with minimal supervision
Strong ownership and follow-through
Comfortable working in a growing business where processes may continue to evolve
Able to work U.S. business hours

Important: This is not a data-entry-only position. We need someone who can review the numbers, recognize when something is wrong, investigate why it happened, and take the appropriate action to resolve it.

Nice to Have
Inventory accounting or inventory-related bookkeeping experience
Experience with 3-way matching or similar accounts payable controls
Experience with NetSuite or another ERP/accounting system
Experience supporting manufacturing or food-related businesses
Experience working with U.S.-based businesses
Experience with vendor reconciliation and discrepancy resolution
Experience improving or establishing bookkeeping processes
