Job Description
The role
You are the single point of contact for our clients and the person who keeps delivery moving internally. Half the job is client success: onboarding, weekly comms, reporting, and keeping accounts happy and renewing. The other half is ops: making sure every client request becomes a tracked task, gets QA'd, launches on time, and nothing goes stale.
What you'll own
Client success (~50%)
Own client relationships end-to-end: onboarding calls, weekly/bi-weekly check-ins, monthly performance reviews.
Translate performance data (leads, appointments kept, cost per kept appointment) into plain-English updates clients actually understand.
Spot churn risk early — slow lead flow, low show rates, quiet clients — and escalate with a fix, not just a flag.
Collect creative assets, offers, approvals and account access without being chased.
Ops / project coordination (~50%)
Run the ClickUp board: every client request becomes a task with owner, due date, and status. No orphan requests.
Traffic the creative → QA → launch → optimization loop; chase blockers and keep QA from becoming a bottleneck.
Own the Slack request pipeline: intake, prioritization, daily standup of what's due, end-of-day recap of what shipped.
Maintain and improve SOPs so the process survives without heroics.
Keep trackers, reporting sheets, and dashboards accurate and current.
You're a fit if you have
2+ years in client success, account management, or agency project coordination (paid media / marketing agency strongly preferred).
Excellent written English — clear, calm, professional under pressure.
Comfort with performance numbers: CPL, show rate, cost per kept appointment. You don't need to build ads, but you must read a report and know what's off.
Hands-on with ClickUp (or Asana/Monday), Slack, Google Sheets; HighLevel and Meta Ads Manager experience is a big plus.
Ruthless follow-through. You close loops without reminders.
Nice to have: experience with home-services or local lead-gen clients, appointment-setting funnels, light copy/creative brief writing.
Success in the first 90 days
Days 1–30: know every client, their offer and their numbers; own the ClickUp board and daily standup.
Days 31–60: run all client comms and monthly reporting independently; QA-to-launch cycle time down measurably.
Days 61–90: zero stale tasks >7 days, no missed client check-ins, documented SOPs for intake → launch → report.
