Job Description
Part ABC is a fast-growing US Medicare and health insurance brokerage licensed in all 50 states, based in Pittsburgh, PA. I'm the founder and the only licensed agent. I'm hiring one full-time, long-term Executive Assistant & Operations Coordinator to run my back office so I can focus on clients. This is not a data-entry gig. You will be the first voice clients hear when they call, and the person who makes sure every enrollment is clean across every system.
Schedule (non-negotiable):
- Monday–Friday, 8:30 AM – 4:30 PM US Eastern Time (8:30 PM – 4:30 AM Philippine Time)
- 8:30 AM ET start is a hard start. If you can't reliably work nights, please don't apply.
- Paid overtime during Medicare Annual Enrollment Period (Oct 15 – Dec 7)
What you'll do:
- Answer our main business line (Dialpad) as first point of contact. Take clear messages and route calls so nothing goes to voicemail.
- After every enrollment, enter and verify client data across our systems (AgencyBloc, Jotform, Mailchimp, and others) and confirm it matches everywhere. Accuracy is the job.
- Send post-sale welcome and follow-up emails from templates.
- Make 7-day and 30-day check-in calls to new clients: see how they're doing, collect questions for me, request Google reviews, ask for referrals, and schedule follow-up appointments.
- Manage my calendar and appointment confirmations.
- Clean marketing and junk email out of my inbox daily; flag anything that needs me.
- Learn our commission tracking software (Comtrack) alongside me; monitor for missing or short payments and flag discrepancies.
- Coordinate with our existing appointment-setting VA
Important boundary:
You will not be licensed. You will never discuss plan details, benefits, premiums, or coverage with clients. Any plan-related question gets routed to us. This is a legal requirement and a firing offense if ignored.
Who you are:
- Near-native spoken English with a clear, warm, confident phone voice. Our clients are 65+ Americans; they must understand you easily and feel comfortable. This is the #1 requirement.
- Detail-obsessed. You catch your own errors before anyone else does.
- Fast, self-directed learner on new software. I'll train you on Medicare and our tools; I won't train you on being organized.
- Reliable, stable internet, quiet workspace, backup power.
- Prior US phone/customer service, EA, or insurance experience is a plus, not required.
Pay:
- $1,600 USD/month, paid twice monthly, with review and raise potential after a 60-day paid probation.
- Long-term role. I'm looking for someone to grow with the company for years.
