About Us
American Debate | Agape Consulting Group is a U.S.-based education organization that works with schools and school districts to provide professional development, educational programs, and opportunities for educators and students.
We are looking for an exceptional Marketing & Operations Assistant to become a long-term member of our team.
This is not a basic Virtual Assistant or data-entry position.
We need someone who is highly organized, communicates professionally, follows through without constant reminders, and can take ownership of both our day-to-day operations and marketing efforts.
Our ideal candidate sees something unfinished and thinks:
“What needs to happen next to get this completed?”
WHAT YOU WILL DO
1. Email & Daily Administration
You will help manage our administrative email account and make sure important communications do not get lost or forgotten.
Responsibilities include:
Monitor incoming emails throughout the workday
Respond professionally to routine emails
Identify emails requiring action
Forward or assign matters to the appropriate team member
Follow up when responses or actions are still needed
Maintain an organized communication/activity log
Set follow-up dates
Track outstanding items until completed
Keep management informed of important or urgent matters
You are not expected to know every answer.
You are expected to make sure the appropriate person responds and that important matters don't fall through the cracks.
2. Professional Development Operations
You will help coordinate our professional development programs with schools and school districts.
Responsibilities include:
Maintain records for active schools and districts
Track professional development programs purchased
Coordinate with our team regarding scheduling
Communicate with instructors
Confirm PD dates and instructors
Track upcoming and completed PD sessions
Collect attendance records and proof of work
Identify missing documentation
Follow up with team members when information is missing
Keep school/program records organized
Communicate important information to our Bookkeeping & Billing team when needed
You will NOT be responsible for bookkeeping, bank reconciliation, accounting, or managing QuickBooks.
We are hiring a separate person for those responsibilities.
3. Principal & School Research
A major responsibility of this position is helping us develop new relationships with schools and school districts.
You will:
Research schools and school districts
Identify principals and other education decision-makers
Find and verify professional contact information
Build our database of principals and administrators
Keep contact information accurate
Organize contacts by school, district, position, location and campaign
Identify potential professional development opportunities
We want our database of school decision-makers to continually grow.
4. Constant Contact & Email Marketing
You will help manage our ongoing outreach to principals, administrators and other education decision-makers using Constant Contact.
Responsibilities include:
Manage Constant Contact campaigns
Import and organize contact lists
Clean email lists
Segment contacts
Create professional email campaigns using approved messaging
Schedule and send campaigns
Monitor opens, clicks, replies and unsubscribes
Identify contacts who engage with campaigns
Maintain lists of high-priority prospects
Follow up with principals who have not responded
Personally follow up with interested prospects
Test subject lines and messaging
Track campaign results
Recommend ways to improve results
Our objective is:
Identify Schools → Reach Decision-Makers → Follow Up → Start Conversations → Generate PD Opportunities
We are not interested in simply sending thousands of emails. We want someone who understands that consistent, organized follow-up creates opportunities.
5. Lead Follow-Up & Business Development Support
When a principal or administrator expresses interest, you will help make sure the opportunity does not disappear.
You will:
Respond professionally to inquiries
Send approved program information
Schedule follow-ups
Keep records of interested schools
Maintain a lead/prospect tracker
Follow up with prospects
Identify prospects requiring management attention
Coordinate meetings when necessary
Move interested schools toward the next step
Every prospect should have a clear:
STATUS → NEXT ACTION → RESPONSIBLE PERSON → FOLLOW-UP DATE
6. Website Management
You will help maintain and improve our websites.
Responsibilities may include:
Update website text
Add/change photographs and videos
Create and edit pages
Improve layouts
Create professional development landing pages
Add programs and services
Add testimonials and success stories
Maintain contact/inquiry forms
Check links and website functionality
Make routine design improvements
Make sure pages display professionally on desktop and mobile
Experience with Squarespace is strongly preferred.
You do not need to be a programmer or advanced web developer.
7. Basic SEO & Online Visibility
You will gradually help improve our online visibility.
Responsibilities may include:
Basic keyword research
Page titles and meta descriptions
Heading structure
Website copy optimization
Image alt text
Internal linking
Google Search Console
Google Analytics
Basic website/search performance monitoring
Content ideas
Publishing approved educational content
Advanced technical SEO is not required.
YOUR PRIORITIES
Your responsibilities will not all have the same priority.
PRIORITY #1 — Current Programs & Communication
Make sure active school programs are organized, scheduled, documented and followed through.
PRIORITY #2 — New Business
Consistently identify principals and schools, conduct outreach, follow up with prospects and help generate new professional development opportunities.
PRIORITY #3 — Marketing
Manage Constant Contact campaigns, prospect lists and ongoing outreach.
PRIORITY #4 — Website & SEO
Maintain and gradually improve our website and online presence.
When an active school needs something, that comes before changing a webpage or working on SEO.
WEEKLY REPORT
At the end of each week, provide management with a concise report covering:
Operations: Important emails/issues, PDs scheduled, PDs completed, missing documentation, outstanding actions.
Business Development: New principals/schools researched, contacts added, outreach completed, follow-ups completed, responses received, interested schools and opportunities requiring attention.
Marketing: Constant Contact campaigns sent, campaign results and notable engagement.
Website/SEO: Work completed and recommended next steps.
Management Attention: Anything requiring a decision or action from management.
