Online Retail Operations Coordinator

We’re looking for a highly proactive and organized Online Retail Operations Coordinator to become a key support partner for a growing consumer brand company.

This role is ideal for someone who can manage retail operations and inventory while also improving the systems and processes behind them. You’ll work across purchase orders, inventory, distributors, retailers, product information, and fulfillment, while using AI and automation to make the business more efficient.

You’ll also support retailer outreach and business development, helping build and improve the process of finding, contacting, and following up with potential retail accounts.

What You’ll Do
- Manage purchase orders, inventory, SKUs, and product information across multiple brands and retail accounts
- Track incoming POs, inventory levels, supplier lead times, and fulfillment to identify potential shortages, delays, or other issues
- Coordinate with manufacturers, distributors, retailers, vendors, and shipping partners to keep orders accurate and on schedule
- Prepare and maintain operational documentation including POs, invoices, packing lists, BOLs, and shipping records
- Support new product setup, retailer submissions, and product/sample coordination
- Maintain accurate operational trackers and records across products, distributors, and retail accounts
- Identify inefficient processes and build or improve workflows, trackers, checklists, and systems
- Use Claude, ChatGPT, and other AI tools to analyze information, solve operational problems, and automate repetitive tasks
- Research potential retail accounts, buyers, category managers, and retailer contacts
- Support retailer outreach through cold email, LinkedIn, and follow-ups
- Use tools such as Instantly, Apollo, or similar platforms to organize and improve outbound outreach
- Use Canva and AI-assisted design tools to create or update simple packaging, product assets, and social media content based on existing brand direction
- Handle ad hoc operational tasks and identify opportunities to improve day-to-day business processes

What We’re Looking For
- Experience in retail operations, e-commerce operations, inventory, purchasing, supply chain, or a similar operations role
- Hands-on experience with purchase orders, inventory, SKUs, and fulfillment
- Experience coordinating with retailers, distributors, manufacturers, vendors, or other external partners; consumer product experience is a plus
- Strong ability to manage complex operational information and multiple moving parts while maintaining accuracy
- Strong problem-solving and systems-thinking skills, with the ability to create structure when processes or systems are not already established
- Highly comfortable using AI tools, especially Claude or ChatGPT, to improve workflows and solve operational problems
- Experience supporting retailer outreach, lead generation, cold email, LinkedIn outreach, or sales development; Instantly, Apollo, or similar tool experience is a plus
- Comfortable using Canva and AI-assisted design tools for simple packaging, product, and social media updates
- Experience with inventory forecasting, replenishment, EDI, SPS Commerce, or retailer portals is a plus
- Comfortable learning new tools and working independently in a startup or fast-growing environment
- Strong written and verbal English communication skills
- Must have a stable internet connection and reliable work setup
- Must be available to work during US Eastern Time business hours

Salary and Benefits:
- Base salary: 55,000 PHP per month
