Job Overview
We are looking for an analytical, systems-minded Operations, Process Improvement & Documentation VA. In this role, your primary focus will be analyzing existing workflows, identifying bottlenecks to drive process improvements, and creating clean, standardized Operating Procedures (SOPs).
Alongside process optimization and documentation, you will manage day-to-day administrative operations, handle client email follow-ups inside our CRM, and execute our social media content calendar. This role is ideal for a detail-oriented candidate who loves eliminating operational friction and building structured business systems.
Key Responsibilities
• Process Improvement & Workflow Optimization (Core Focus): Audit current operations, identify inefficiencies or redundant steps, and recommend practical process improvements to increase speed, accuracy, and overall workflow quality.
• SOP Creation & Documentation: Turn Loom video walkthroughs, raw notes, and optimized workflows into clear, beautifully formatted, step-by-step Standard Operating Procedures (SOPs) using Notion, Google Docs, or Tango. Maintain and organize our central operations library.
• Inbox & Client Follow-Ups: Monitor email inboxes, draft templated replies, send follow-ups to warm leads/clients, and log communications inside our CRM (GoHighLevel/Google Workspace).
• Social Media Execution: Schedule approved posts across social channels (using Canva, Metricool, Buffer, or native platforms), format captions, monitor basic comments/DMs, and keep our publishing calendar on track.
• General Administrative Support: Assist with calendar scheduling, file organization in Google Drive, basic data entry, and ad-hoc research tasks to keep daily operations running smoothly.
Required Qualifications
• Experience: 2+ years of experience in Operations Support, Process Improvement, Business Process Mapping, or Administrative Operations.
• Process Improvement & Documentation Mastery: Proven ability to analyze workflows, map out complex processes, and write detailed SOPs and operational manuals.
• Tool Proficiency:
- Documentation & Ops: Notion, Google Docs, Loom, Tango, or process mapping tools (Miro, Lucidchart, Whimsical).
- Workspace & CRM: Google Workspace (Gmail, Drive, Sheets) & GoHighLevel (or standard CRM platforms).
- Social & Design: Basic Canva skills and familiarity with social media schedulers (Metricool, Buffer, or Meta Suite).
• Skills & Reliability: Strong analytical and critical thinking skills, excellent written English, exceptional attention to detail, reliable high-speed internet, and power backup.
Salary & Benefits
• Monthly Salary: $350 to $500 USD/month (negotiable up to $550–$600 for fully qualified candidates), with rapid, performance-based increases.
• 13th-Month Pay Included: Full 13th-month bonus paid every December (prorated based on hire date).
• Performance Reviews: Annual review with opportunities for merit-based raises and bonuses based on performance and company growth.
