Shopify Finance, Payments & Chargeback Specialist / Bookkeeper

We operate a **7-figure Shopify e-commerce business** and are looking for an experienced **Shopify Finance, Payments & Chargeback Specialist / Bookkeeper**.

This is **not a general VA position**. We need someone who understands Shopify deeply, especially **Shopify Payments, payouts, chargebacks, refunds, fulfillment, bookkeeping, and financial reconciliation**.

### What We Need Help With

**Shopify Payments & Held Funds**

* Investigate our current Shopify Payments hold/reserve and understand why funds are being held.
* Review Shopify's communications and requirements regarding the hold.
* Help us prepare the correct documentation and information for any available Shopify review/appeal.
* Track held funds, reserves, pending payouts, and released payouts.
* Help us understand exactly how much money Shopify is holding and what has been paid out.

**Chargebacks, Refunds & Orders**

* Review our chargebacks and refunds and determine why they are happening.
* Determine whether **orders that were refunded or charged back were still shipped/fulfilled**.
* Identify situations where we lost the refund/chargeback amount **plus the product and shipping cost**.
* Help create a system so refunded/canceled orders are stopped from shipping whenever appropriate and possible.
* Work with Chargeflow/RDR and help improve our chargeback process.
* Help us reduce future chargebacks.

**Financial Reconciliation — Where Did Our Money Go?**

We need someone who can take our Shopify revenue and clearly reconcile it against:

* Shopify Payments payouts
* Funds held/reserved by Shopify
* Chargebacks
* Refunds
* RDR/pre-dispute refunds
* Shopify/payment processing fees
* Chargeflow fees
* Shopify apps and software expenses
* Advertising expenses
* COGS/product costs
* Shipping and fulfillment expenses
* Other business expenses
* Actual money deposited into our bank accounts

At any time, we should be able to understand:

**Revenue → Expenses → Refunds/Chargebacks → Held Funds → Payouts → Bank Deposits → Actual Profit**

### Bookkeeping

We also need someone who can handle ongoing bookkeeping for the company, including:

* Monthly bookkeeping
* Shopify and bank reconciliation
* Shopify Payments payout reconciliation
* Expense categorization
* Chargeback/refund reconciliation
* Monthly P&L
* Cash-flow reporting
* Tracking business expenses
* QuickBooks or Xero
* Working with our accountant/CPA when needed

### Who We're Looking For

You should have:

* Strong Shopify expertise
* Shopify Payments experience
* E-commerce bookkeeping experience
* Experience reconciling Shopify payouts with bank deposits
* Experience with refunds and chargebacks
* Understanding of Shopify Payments reserves/holds
* Experience with Chargeflow/RDR is a big plus
* QuickBooks and/or Xero experience
* Strong Excel/Google Sheets skills
* Experience with a **7-figure+ e-commerce business** is strongly preferred

We are **not** looking for someone who promises they can guarantee Shopify will release our funds. We want someone who understands Shopify Payments risk, can help us address the underlying issues, and can prepare the business properly for Shopify's review.
