Job Description
**Come join the team behind MontiiCo**
We're Westridge Goods, the Australian-owned team behind MontiiCo, a brand families are genuinely obsessed with for stylish, practical lunch and drinkware. We're growing fast and looking for a full-time Executive Assistant to support our CEO and Operations Manager, keeping the wheels turning behind the scenes so they can focus on what matters most.
You'll work closely with both leaders and the wider team, someone who's genuinely collaborative, brings strong organisational instincts and is happy to jump into whatever's needed on any given day.
**The Role**
This is a full-time, offshore role supporting two of our most senior leaders across calendars, communications, documentation and a wide mix of projects and ad hoc tasks. No two days will look the same and that's exactly the point.
We provide a lot of support and guidance along the way, but we need someone who's genuinely up for anything, organised enough to keep multiple moving parts on track and comfortable being part of a busy, collaborative team. A big part of this role is taking on the day-to-day project and ad hoc work so our senior leaders can stay focused on the bigger picture, the more you can take off their plate, the more impact you'll have.
**Who We're Looking For**
- Fluent written and spoken English, this role involves regular participation in team meetings
- Strong, strong attention to detail and organisational skills, this is non-negotiable
- A genuine team player who collaborates well and communicates clearly
- Confident using the Google Suite (Docs, Sheets, Slides, Gmail, Calendar)
- Proficient in Asana, or quick to pick it up
- Comfortable using AI tools to work smarter and more efficiently
- Comfortable managing calendars, correspondence and documentation with accuracy
- Proactive and adaptable, happy to take on a wide variety of tasks, big or small
- Someone who can be trusted with sensitive information and exercises good judgement
- Shopify knowledge is a plus
- E-commerce experience or knowledge is a plus
- Previous experience supporting a CEO or senior leader is a plus
**What You'll Do**
- Manage calendars, meetings and travel logistics for the CEO and Operations Manager, including complex scheduling and detailed itineraries
- Act as a gatekeeper for the CEO, handling communications and meeting requests with good judgement
- Prepare agendas, collate pre-reads and put together polished documents and presentations for meetings
- Attend and actively participate in team meetings, capturing minutes and tracking actions through to completion
- Draft and proofread professional communications, ensuring tone and accuracy reflect the brand
- Create, update and maintain business documents, policies and filing systems, both digital and physical
- Manage and track projects and tasks in Asana, keeping priorities visible and up to date
- Take on a high volume of project-based and ad hoc tasks, freeing up the CEO and Operations Manager to focus on strategic priorities and project management rather than the day-to-day
- Support with research, reporting, onboarding admin and general operational tasks
**Why You'll Love It Here**
🤝 A genuinely collaborative team that supports each other
📋 Real variety, no two days are the same
🛍️ A brand customers are genuinely obsessed with
📈 Room to grow as the business scales
If you're highly organised, love being part of a team, and are ready to take on whatever comes your way, we'd love to hear from you.
