Office Dispatch Manager (Remote & Great Pay!)

ABOUT THE ROLE
Extra Locksmith Utah is the state’s fastest-growing locksmith brand and runs one of the biggest key inventories in Utah. We need an experienced virtual Dispatch Manager to own daily call flow, job booking, technician dispatch, and KPI reporting. You will work directly with the owner and senior managers, giving you a front-row seat to our expansion.

DAY-TO-DAY RESPONSIBILITIES
• Answe calls quickly, tag every call in Workiz, track all jobs.
• Create Estimates for all quoted jobs so automated follow-ups run
• Book jobs, assign technicians, send ETA texts, and monitor job statuses
• Close jobs: verify photos, parts, signatures, and payments are attached
• Send a nightly WhatsApp report (calls, estimates, bookings, sales, cost per job, top technician)
• Reconcile keys pulled versus jobs; approve or flag purchase orders
• Respond to CRM leads, emails, and social DMs within 10 minutes
• Audit 20 % of recorded calls weekly and provide break downs

MUST-HAVES
• 2+ years dispatch or service-business VA experience with leadership duties
• Native-level English, confident phone voice
• Workiz, ServiceTitan, or similar CRM experience
• Google Sheets skills—basic formulas and pivot tables
• Quiet home office, hard-wired 25 Mbps internet, USB headset
• Available Mon–Fri 3pm .– 10 p.m. MST (Schedule flexible for right candidate)

NICE-TO-HAVES
• Locksmith, HVAC, plumbing, or garage-door background
• Familiarity with Meta Business Suite or Buffer
• Track record of lowering cost per job or boosting booking rate

COMPENSATION & BENEFITS
• USD $6–$10 per hour DOE + monthly bonus tied to booking and QA metrics
